Create your CVWhy UAE employers and immigration require an experience certificate
UAE work visas are tied to a specific sponsor, and the General Directorate of Residency and Foreign Affairs (GDRFA) checks that sponsor’s claim every time you apply for a renewal or a new permit. The most straightforward proof is an experience certificate that matches the passport name, nationality and Emirates ID. Recruiters in the private sector—whether you’re targeting a DIFC banking role, a tech startup in Dubai Internet City, or a hospitality position in Sharjah—use the same document to confirm the salary you earned and the length of your tenure.
A well-formatted certificate also speeds up background checks. In free-zone companies such as ADGM or the Abu Dhabi Global Market, HR teams often run an internal verification against the employee’s GDRFA record before they release the final offer. If the certificate is missing or looks unofficial, the process can stall for days, and the hiring manager may move on to the next candidate.
Because the UAE labour market values clear, verifiable data, a concise experience certificate becomes a gate-keeper for both visa processing and the recruiter’s confidence in your profile.
What must be included in a UAE experience or salary certificate
A UAE-compliant certificate follows a predictable template. Including every required field prevents back-and-forth emails with HR and eliminates the risk of a rejected visa application.
- Full name as on passport – exactly the spelling that appears on your travel document.
- Nationality and Emirates ID number – the ID is the primary identifier for GDRFA checks.
- Job title and department – use the official title from your contract (e.g., “Senior Business Analyst, Finance & Reporting”).
- Dates of employment – write them in DD/MM/YYYY format; include both start and end dates.
- Last drawn salary – list the basic salary, housing allowance, transport allowance and any other recurring benefits.
- End-of-service benefits – if the contract stipulated a gratuity, note the amount calculated up to the last day.
- Employer’s stamp and HR manager’s signature – the stamp must be the company’s official seal; the signature should be legible and accompanied by the manager’s full name and contact number.
A practical example for a finance professional in the DIFC might read:
This is to certify that Mr. Ahmed Al-Mansoor, Indian, Emirates ID 784-2021-1234567,
was employed with XYZ Financial Services LLC as Senior Business Analyst,
Finance & Reporting, from 01/02/2019 to 15/04/2024.
His last drawn salary was AED 22,000 (basic) + AED 5,000 housing allowance + AED 2,000 transport allowance.
End-of-service gratuity calculated as of 15/04/2024 amounts to AED 45,000.
Including these elements ensures the document passes both the GDRFA’s electronic verification and the recruiter’s manual audit.
Step-by-step email/template to request the certificate before you leave
Timing and clarity are the two levers that make the request painless for both you and the HR department.
-
Send the request at least two weeks before your last working day.
Two weeks gives HR enough time to pull the data from payroll, apply the company seal and route the draft for approval. -
Use a clear subject line.
Example:Request for Experience Certificate – Ahmed Al-Mansoor. A precise subject prevents the email from being buried in a crowded inbox. -
State your notice period, last working day, and why you need the document urgently.
Dear Ms. Sara, I hope you are well. As per my resignation submitted on 01/04/2024, my last working day will be 15/04/2024. I am in the process of applying for a new UAE work permit and need an experience certificate by 22/04/2024 to meet the GDRFA deadline. -
Attach a draft template.
Providing a ready-made template saves HR from formatting work and reduces the chance of missing fields. Use the example from the previous section, replace the placeholders with your details, and label the attachment “Experience_Certificate_Draft.pdf”. -
Follow up politely after three business days if you haven’t received a reply.
A short reminder such as “Just checking if you need any additional information to finalize the certificate” keeps the request on the radar without sounding demanding.
Here is a full email you can copy-paste and adapt:
Subject: Request for Experience Certificate – [Your Full Name]
Dear [HR Manager’s Name],
I am writing to formally request my experience and salary certificate in preparation for my upcoming visa renewal. My notice period, as stated in my resignation letter dated [date], ends on [last working day]. The certificate is required by the GDRFA for my new work permit application, and I would appreciate receiving it by [date – at least one week before the permit deadline].
For your convenience, I have attached a draft template that includes all necessary details (full name, passport number, Emirates ID, job title, dates of employment, salary breakdown, and end-of-service benefits). Please feel free to adjust any figures or wording as needed.
Thank you for your assistance. I am happy to provide any additional information.
Best regards,
[Your Name]
[Phone number]
[Email address]
If the employer refuses: legal rights and practical next steps
UAE labour law is explicit: an employer must provide the experience certificate within 14 days of a written request. Knowing your rights helps you act confidently when a delay turns into a refusal.
-
Escalate internally.
Send a written reminder to the head of HR or the legal department, referencing Article 125 of the UAE Labour Law. Keep the tone professional and attach the original request email. -
File a complaint with the Ministry of Human Resources & Emiratisation (MOHRE).
Use the MOHRE online portal or visit a service centre with copies of your resignation letter, the original certificate request, and any HR replies. The ministry can issue a directive compelling the employer to comply, and non-compliance may lead to a penalty. -
Consider a notarised statement from a former manager.
If the company outright refuses, a notarised affidavit from your direct supervisor confirming your tenure, role and salary can serve as a temporary proof for visa authorities. While not a substitute for the official certificate, it often buys you enough time to sort the issue. -
Document everything.
Save every email, WhatsApp message and internal ticket. These records become essential evidence if you need to present your case to MOHRE or, in rare cases, to a labour court. -
Plan for the worst-case scenario.
If the employer remains uncooperative, you may need to request a “No Objection Certificate” (NOC) from the sponsor instead of a full experience letter. An NOC states that the sponsor has no objection to you leaving the company and can sometimes be accepted by the GDRFA for visa transfer, especially in free-zone contexts like JAFZA or ADGM.
By following these steps you protect your right to move on smoothly, whether you’re heading to a new role in the Dubai finance hub, a senior engineering position in Abu Dhabi’s energy sector, or a hospitality management job in Ras Al Khaimah.
